Bacolod Information Technology Solutions (“Bacolod IT Solutions”, “we”, “us”, or “our”) is a software and automation studio based in Metro Manila, Philippines, registered with the DTI and BIR. This Privacy Policy explains how we collect, use, and protect your personal data when you use our website and related services, in line with the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules and regulations.

Information you provide to us
- Inquiry form: your name, email address, phone number, budget range (if provided), the services you are interested in, your preferred call schedule, and the project details you type in the message field.
- AI assistant (“Ask Bacolod”): the messages and questions you send through the on-site chat.
Information collected automatically
- Technical data: basic information your browser sends, such as IP address, browser and device type, and pages visited, used to keep the site working and secure.
- Local storage: we store your light or dark theme preference, and any blog comments you post, directly within your own browser. These comments are not transmitted to or stored on our servers.
How we use your information
- To respond to your inquiries and prepare quotes or proposals.
- To schedule and conduct the calls or meetings you request.
- To deliver, maintain, and improve our services and website.
- To generate responses through our AI assistant.
- To protect the site against spam, abuse, and security threats.
- To comply with our legal and regulatory obligations.
Legal basis for processing
We process your personal data based on your consent (which you provide when you submit the inquiry form), our legitimate interests in operating and securing our business, the performance of a contract or steps taken at your request before entering into one, and compliance with legal obligations.
Sharing and third-party processors
We do not sell your personal data. We share it only with trusted service providers who help us operate the website and respond to you, and only to the extent necessary:
- Email delivery (Brevo): inquiry-form submissions are transmitted and delivered to us by email through Brevo.
- AI processing (Anthropic): messages you send to our AI assistant are processed by Anthropic to generate replies.
- Hosting provider: our website is served by a third-party hosting provider.
We may also disclose information where required by law, or to establish, exercise, or defend our legal rights.
Data retention
We keep your personal data only for as long as necessary to fulfil the purposes described in this policy and to comply with applicable laws. Inquiry details are generally kept for up to 24 months after our last contact, unless you ask us to delete them sooner or a longer period is required by law.
Your rights under the Data Privacy Act
As a data subject, you have the right to be informed; to access your data; to object to processing; to have inaccurate data corrected; to have your data erased or blocked under certain conditions; to data portability; and to lodge a complaint with the National Privacy Commission (NPC). Our website does not use third-party advertising or tracking cookies. We use your browser local storage only for essential, first-party purposes (remembering your theme preference and storing comments you post locally). If we add analytics in the future, we will update this policy and request consent where required.
